Staff Server Transition

  • Historically, district staff have been directed to backup their district computer files to the Staff Server to ensure that multiple copies of their files exist in case the computer needs service or repair. Backup and Sync

    Beginning on September 01, 2020, the Staff Server will no longer be available to staff as a place to backup and store district computer files.

    Google provides unlimited storage through our district GSuite accounts; therefore, we are transitioning staff to backing up their district computers using Backup and Sync from Google which provides syncing to Google Drive. Like in the past, you may still choose to backup files in multiple locations, for example, to Google’s Backup and Sync AND to a flash drive. The more places your files are stored, the better.

    **Please Note: District staff who have access to the Staff server’s Shared volumes will still have access to that area of the server even after September 01, 2020. 

    Backup and Sync from Google is an automatic backup that, once configured, syncs computer files automatically to Google Drive as they are created and/or edited. Gone are the days of seeking out time each week, month or year to backup that year’s files.

    Backup and Sync transfers files over a wifi connection whether the computer is connected to the district’s wifi network or to another network (at home for example). Initially, depending on how many files are stored on the computer, the first backup could take a long time, sometimes even days. The sync will pause when the computer loses a wifi connection and then will resume syncing when the computer reconnects to wifi. 

    WHAT DO I NEED TO DO BEFORE SEPTEMBER 01, 2020?

    Step 1: Make sure that everything that you want access to from your Staff Server folder is on your computer (This should not include a complete backup from the server as the majority of that content should already be on your existing laptop harddrive)

    Step 2: Ask yourself, “Are there files in my staff server folder that are no longer on my computer?”, and if so, “Do I want access to them anymore?” 

    If the answer is “Yes,” move those files back to the Documents folder on your computer before September 01, 2020.

    You only need to move files back to your computer if they are no longer on your computer. If you have files that are ONLY stored on the Staff Server, move them back to your computer so they can get backed up to Google Drive through Backup and Sync.

    Step 3: Once you have moved your Staff Server files back to your computer, OR if you don’t want anything from the Staff Server, set up Backup and Sync from Google to automatically sync your computer files to Google Drive.

    INSTRUCTIONS FOR SETTING UP AND USING BACKUP AND SYNC FROM GOOGLE:

    Support by the Technology Services department will be offered throughout this transition process. We will set up building visits to offer assistance with setting up the new backup location.
